Create wines as drafts, then enrich each product with bottle details, grape varieties, tasting notes and food pairings. Update pricing and publication here without opening Supabase.

Use Edit wine for its full product profile. Use Manage photo to upload or replace bottle artwork; every new photograph needs administrator approval. Stock counts are manually maintained. The secure checkout backend must be separately verified before real payments are enabled.

Give each wine its own professionally presented bottle photograph. Upload from your phone or computer. Pictures are private until reviewed and approved by the platform administrator.

For best results use a portrait bottle photograph, photographed against a light uncluttered background. JPG, PNG or WebP, up to 5 MB. A square photo also works. The original file is kept private.

Alcohol handover and dispatch safety (18+)

Only fulfil an order after payment is verified. Sandbox orders are tests and must never be dispatched.
Before supplying wine, check that the recipient is at least 18 years old. Request a valid identity document when required, especially where age is uncertain; do not hand wine to a minor.
Ensure your courier has a documented adult-recipient and failed-delivery procedure. Do not leave age-restricted products unattended.
Confirm the correct estate order, recipient, bottle quantities and destination before handover. Keep required compliance records in your approved business systems, not in customer-facing notes.
Refunds, delivery disputes and licensing approvals remain separate operational processes; marking a status here does not reverse PayFast charges.

Wine photograph approvals

Platform administrator review. Images remain private until approved, and appear on the public customer site only when their wine and estate are published.

Authorised platform administrators only. These controls do not move money. Finance emails use an audited outbox and require explicit enablement. Confirm transfers and subscription receipts with your bank before recording payment. Do not mark the R285 PayFast test payout as paid.

V25 — Financial emails and delivery log

Invoice emails, payment confirmations and subscription follow-ups are sent from notifications@wineroutessa.co.za. Messages contain invoice details, not PDF attachments or bank-account instructions. SMTP acceptance does not prove delivery. Automatic sending starts OFF and must be enabled by the finance administrator after validation.

Estate payouts

Allowed steps: Pending → Approved → Paid; Pending/Approved → Held; Held → Pending. Paid status is irreversible in this portal.

Monthly subscription billing

Preview the selected month's subscriptions for all active estates. When issued, one invoice is recorded per estate and month. Zero-subscription estates are skipped. This does not charge estates or produce VAT tax invoices. Invoice messages can be queued after email automation is explicitly enabled. The scheduler is configured in Supabase.

Administrator-only reporting across all estates. Outstanding balances are unpaid issued invoices. Aging is calculated from the invoice issue date; no contractual payment-due date has been assumed. This report does not confirm bank receipts, collect money or send invoices.
